Provide high-level executive support to the COO, managing calendars, emails, meetings, and travel logistics to ensure optimal prioritization of strategic and operational tasks. Act as the de facto VP of Special Projects, overseeing both corporate and personal initiatives on behalf of the COO, including coordination and upkeep of multiple real estate properties, vehicles, and boats across the U.S., ensuring maintenance, legal documentation, insurance, and repair schedules remain up to date. Collaborate directly with the Product Manager to support the development and delivery of the company’s core SaaS platform, ensuring alignment between product features, user needs, legal compliance, and client satisfaction. Track product deliverables and coordinate with the development team to ensure tasks are completed on time, meet quality standards, and fulfill client-specific legal use cases (e.g., paralegal and legal assistant functionalities). Partner with Talent Acquisition and Talent Development to identify and replace underperforming resources, enhance internal job descriptions, and tailor training programs to meet client expectations and raise resource performance standards. Support the Sales team by vetting and scheduling follow-up meetings between the COO and potential partners sourced from conferences and industry events, helping evaluate business development opportunities. Work alongside the Personal Assistance team to help manage personal affairs for both the COO and CEO, ensuring alignment between personal and professional priorities. Assist the IT team with onboarding/offboarding workflows, internal system audits, software license renewals, campaign registrations (e.g., SMS compliance), and domain management via GoDaddy and other providers. Utilize Zoho CRM to manage project data, build dashboards, track KPIs, and streamline workflows across departments. Prepare executive-level reports, spreadsheets, and presentations to monitor project progress, highlight risks, and drive informed decision-making. Coordinate across cross-functional teams including Sales, Product, Talent, IT, and Executive to maintain operational cohesion, execution excellence, and client satisfaction. Continuously enhance internal administrative and project management processes, supporting operational scale and business growth through improved efficiency and communication.
